HRMS software for small business replaces the notebook, the WhatsApp group and the Excel sheet that many small teams use to run HR. On the 28th of the month, when attendance has to agree with leave and leave has to agree with salary, that patchwork starts to crack. HR software for small companies fixes this by keeping attendance, leave, payroll and employee records in one system.

This guide covers what an HRMS does, how Indian compliance fits in, what it costs, which tools exist, how Go-EMP's modules line up with common HR needs, and how to switch without disrupting payday. Facts and prices come from the sources listed at the end. Where the guide adds its own suggestion, it says so. Prices change, so confirm them with the vendor before you buy.

HRMS Software for Small Business: Meaning and Scope

HRMS stands for Human Resource Management System. Indian vendors use the word for a single platform that runs payroll, attendance, leave, employee files and statutory filings. Instead of four tools, or one tool plus a chat group, you work from one record for each employee.

HRMS vs HRIS vs HCM vs Payroll Software

Vendors mix these labels freely, so it helps to pin them down:

  • HRIS: the database of employees and their records.

  • HCM: a wider label from the enterprise world that also covers workforce planning.

  • Payroll software: works out pay and produces payslips, and stops there.

  • HRMS: in Indian small-business usage, the package that includes all of the above.

ZFour notes that the terms overlap heavily in this market. For you, the label matters less than the coverage. A quick test: can one product take you from a day's attendance to a finished payslip with the statutory deductions on it?

How HRMS Software Works From Attendance to Payslip

Follow one month through the system. Staff mark attendance by phone, browser or a device at the office. Leave requests go to a manager, who approves or rejects them in the app, and balances adjust on their own. When the month closes, the approved days feed the payroll run, which applies salary rules, deductions and tax. Each person then opens their own payslip in the app, so nobody has to email you for a copy.

ZFour describes the usual building blocks as payroll, attendance and shifts, leave, an employee database with documents, statutory compliance, reports, hiring and onboarding workflows, and self-service. You rarely need every block on day one. A later section shows which ones to add when.

HR Software for Small Companies vs Enterprise Suites

Big firms can hire their way around messy HR. A small firm can't, so the work usually lands on the founder, an office manager or the accountant, on top of their real jobs. ZFour calls the idea that HR software is only for companies with an HR department a myth.

ZFour also places enterprise suites with firms of around 500 or more people. It describes them as costly, slow to implement and frequently beyond what a small team needs. Small-business platforms trade depth for speed: quicker setup, simpler screens and a price that moves with headcount.

HRMS vs Spreadsheets: When Manual HR Stops Working

A spreadsheet is a fair starting point. It costs nothing and everyone knows how to use it. The risk appears when one file decides what people get paid.

HRMS Warning Signs in Attendance, Leave and Payroll

Count how many of these match your last month-end:

  • Preparing salaries eats several working days.

  • Employees question their pay because attendance records don't agree.

  • Nobody can say with confidence how much leave a person has left.

  • Payslips arrive late.

  • A new joiner's documents sit in an inbox, a chat thread or a drawer.

  • You aren't sure PF, ESI or Professional Tax dues went out on time.

  • Your own hours go to admin rather than to the business.

If two or three apply, the current process is costing more than it appears to.

Cost of Manual HR Beyond the Software Fee

ZFour grants manual HR three advantages: no subscription, no new tool to learn and complete control over each entry. Its argument is that the real expense is simply never measured.

Its example is a 20-person team, where it says the owner or manager often spends 5 to 10 hours or more each month on HR admin. That's a vendor's estimate, so use it only as a prompt. Suggestion: log your own hours on attendance, leave, payroll and filings for one month. That number becomes your baseline for judging any software later.

Time is only part of it. According to ZFour, manual processes also tend to produce more overtime and deduction errors, leave no clean trail for filings, deliver reports late, and frustrate employees when payslips or leave balances are wrong. The effort also grows as headcount grows.

HRMS Team Size Triggers: When 5, 10 and 20 Employees Matter

ZFour offers two rules. Businesses with five or more employees that run monthly payroll, track attendance or handle leave requests tend to see gains in time and accuracy. And once manual payroll and attendance take more than a couple of hours a week, or filings become hard to follow, it's time to switch. ZFour says that moment often arrives at 10 to 15 employees.

Compliance thresholds line up with this. ESI generally begins at 10 employees and EPF at 20, as the compliance section shows. Below five people with simple pay, ZFour says a free or basic tool may be enough.

HRMS Features Small Businesses Use Most

Vendor feature lists run for pages. For a small team, a handful of features carry most of the weight.

HRMS Attendance Tracking and Leave Management

Start with how people clock in. The sources mention four methods:

  • Biometric devices at a fixed site.

  • GPS-based phone attendance that records location.

  • Selfie check-ins.

  • QR scans.

Match the method to the job. ZFour says biometric hardware doesn't suit people who work away from one place, so field sales, delivery and site crews are usually better off with GPS or selfie attendance. Suggestion: record location only when you genuinely need it.

Leave handling should take minutes. HR HUB describes employees requesting time off from a phone or browser, managers approving on the spot, balances updating automatically, clashing requests being flagged, and payroll deductions following from the approved days. A visible balance also means fewer arguments about who has how much left.

HRMS Payroll Features and Attendance Integration

The strongest setup passes approved attendance and leave straight into payroll, so nothing is retyped. ZFour says most modern systems do this, which cuts reconciliation work and mistakes.

HR HUB's picture of good payroll: it runs the whole cycle from attendance-based pay through TDS, keeps PF, ESI, Professional Tax and gratuity rules current, produces payslips, and copes with arrears, reimbursements and bonuses. Some products also connect to accounting software or bank portals to speed up salary payouts.

Not every product bundles payroll. Zapier reports that Zoho People leaves payroll and hiring to separate paid Zoho products, that Gusto began as a payroll tool and added HR later, and that BambooHR sells payroll, benefits, time tracking and international hiring support as paid add-ons. A separate payroll tool can work well, but price it into your comparison along with the extra setup.

HRMS Employee Records, Self-Service and Custom Reports

An HRMS gives each person one file: personal details, role history, emergency contacts and documents. HR HUB adds that many systems let employees edit their own details. For joiners, it mentions document upload, policy sign-off and manager checklists, and Zoho's page adds offer letters with e-signature and collection of ID proofs and certificates.

Self-service is where you win back hours. ZFour says employees can open payslips, leave balances and attendance history themselves. It also says mobile access should come as standard, and it flags a surcharge for mobile as a pricing warning sign.

Two more controls complete the set. Role-based permissions keep salary data away from people who shouldn't see it, according to ZFour. And reports should be easy to read: HR HUB mentions absenteeism trends, turnover by department and payroll cost month by month.

Go-EMP HRMS Features for Small Business HR

Go-EMP describes itself as a unified workforce platform that combines core HR, productivity, project delivery and employee experience. Its site lists the modules below, and this section connects each one to the HR needs covered above. It draws on Go-EMP's own site and public listings, so read it as the vendor's description, not an independent test.

Go-EMP Core HR Modules: Employee, Attendance, Leave and Payroll

HR need

Go-EMP module

What the public listings say

Employee records

Employee Management

Capterra describes a central database that helps organizations follow employee history, performance and development.

Attendance

Attendance Management

Capterra's feature list includes tracking arrival and departure times for payroll, for individuals or groups. Go-EMP's AlternativeTo listing says employees mark attendance in the mobile app.

Leave

Leave and Holiday Management

The AlternativeTo listing says employees apply for leave in the app, follow whether it is approved, rejected or pending, and can withdraw a request.

Payroll

Payroll Management

Listed on Go-EMP's site. The public pages used for this guide don't spell out statutory coverage, so confirm it in a demo.

These four modules map directly onto the attendance, leave, payroll and records features described earlier. For a small team, they are the part to evaluate first.

Go-EMP Modules for Expenses, Assets, Contracts and Policies

Go-EMP's site also lists Expense Management, Asset Management, Contract and Letter Management, and Company Policies Management. By name, these cover expense claims, company equipment, employment letters and contracts, and written policies. The AlternativeTo listing adds that employees can submit expense declarations from the mobile app.

Three more modules support day-to-day communication and reporting: Helpdesk Ticket Management, Announcements Management and Custom Reports. They line up with the self-service and reporting features covered above. Ask for a demo to see how each one works, since the listings only name them.

Go-EMP Modules for Hiring, Performance and Project Time

Go-EMP lists Recruitment Management for hiring, and three performance modules: 360 Degree Review Management, Continuous Feedback and 1 on 1 Review Management. On the project side, it lists Timesheet Management and Project Billing and Invoicing. The AlternativeTo listing says employees can log working hours against tasks in a project.

These matter most for firms that bill clients by time or run project work. For a small team that mainly needs payroll and attendance in order, they can wait, which fits the advice in the next section.

Go-EMP Demo Checklist for Indian Payroll and Pricing

The pages used for this guide don't state Go-EMP's statutory coverage or prices, so verify these points directly with Go-EMP. Its site offers a free trial sign-up and a pricing page for India.

  • Does payroll calculate PF, ESI, Professional Tax and TDS, including state-wise differences?

  • How do approved attendance and leave flow into the payroll run?

  • Which attendance methods are supported for office and field staff?

  • Is mobile access included in the plan price?

  • Which modules does each plan include, and what costs extra?

  • Can you export all your data if you leave?

HRMS Needs by Team Size and Industry

What you need from an HRMS shifts as you grow, and it shifts with the kind of work your people do.

HRMS Needs for Teams of 5 to 25 Employees

At 5 to 10 people, ZFour says core payroll and attendance are usually enough. Compliance is lighter, and ESI may not apply yet depending on your state and headcount, but leave tracking and payslips still save time.

From 10 to 25, ESI generally applies and manual tracking begins to strain. Priorities at this stage: leave workflows, attendance that feeds payroll, and a few basic reports.

HRMS Needs for Teams of 25 Employees and Above

Around 25 to 100 people, EPF is in play (it starts at 20). Reports across departments, permission levels and stronger analytics begin to pay their way, and so do hiring and onboarding workflows. At 100 or more, ZFour expects needs such as deeper analytics, compliance across locations and wider integrations.

HRMS Priorities by Industry

ZFour sketches how priorities shift by sector. IT firms care about remote attendance, performance tools and integrations. Factories lean on shift schedules, biometric devices and tracking of overtime. Retailers need several locations in one view, plus rosters. Healthcare needs compliance-aware scheduling and credential documents. Construction and field services need GPS and site-level tracking. Startups want quick setup, low cost and room to grow.

HRMS Modules to Add Later

HR HUB advises fixing the biggest bottlenecks first and treating analytics, performance and engagement as the next layer. ZFour agrees that payroll and compliance come first, and says more modules usually mean a higher price. Suggestion: expense, asset, helpdesk and review modules, such as those Go-EMP lists, can wait until attendance and payroll run smoothly.

HRMS Compliance in India: PF, ESI, Professional Tax and TDS

ZFour treats Indian statutory compliance as the main dividing line between tools made for India and global tools adapted for it, and says adapted tools often treat PF, ESI and Professional Tax as secondary. Mistakes cost money in penalties and also in the clean-up that follows.

This section is general information, not legal or payroll advice. Limits and rules get revised, so confirm current figures with EPFO and ESIC, or ask a chartered accountant or payroll specialist. ZFour gives the same advice about ceilings.

HRMS PF, ESI and Professional Tax Rules in Plain Words

In everyday terms: PF is retirement savings that employer and employee both pay into. ESI is a scheme that covers health, disability, maternity and dependents. Professional Tax is collected by the state on salary income. The table follows the figures ZFour reports.

Rule

Who it applies to

What to know

EPF (Provident Fund)

Establishments with 20 or more employees

Retirement savings. The mandatory band is basic pay plus DA up to ₹15,000 a month. The employer pays 12% and the employee pays 12%.

ESI (Employees' State Insurance)

10 or more employees (20 in some states)

Health, disability, maternity and dependent cover for gross wages up to ₹21,000 a month (₹25,000 if the employee has a disability).

Professional Tax

Depends on the state

A tax on salary income collected by the state, using that state's slabs.

TDS on salary

Every employer

Income tax held back from pay, based on the employee's slab.

Labour Welfare Fund

Depends on the state

Contributions to a welfare fund where the state has notified one.

Thresholds like these decide who is covered and what each contribution is calculated on. A good tool applies them for you, so nobody checks a rate card by hand.

HRMS TDS, Gratuity and Salary Structure Setup

TDS means tax deducted at source: the employer holds back income tax from each salary according to the employee's slab.

HR HUB stresses that payroll errors are noticed quickly by staff and can bring penalties. It expects good software to calculate TDS, apply gratuity rules, adjust when government thresholds change, produce government-ready reports and warn you ahead of filing dates. ZFour adds that an HRMS keeps history and reports built in, whereas rebuilding records for an audit by hand is slow.

HRMS and the New Labour Codes: Multi-State Rules

According to ZFour, four new codes are replacing 29 central labour laws in India. A central change is a single definition of wages: the part of allowances that exceeds 50% of CTC (cost to company, the total yearly package) is added back to the wage amount on which PF and gratuity are worked out. ZFour says this affects take-home pay and employer cost for businesses that restructure salaries.

ZFour wrote in April 2026 that the codes were rolling out through the year. This guide hasn't checked the current status, so confirm where things stand before you change anyone's pay structure.

Several offices add another layer. ZFour calls PF and ESI uniform national rules, though the table above shows the ESI headcount trigger is 20 in some states. Professional Tax and Labour Welfare Fund rules change from state to state. ZFour's example is a firm with offices in Bengaluru, Mumbai and Delhi, which faces three Professional Tax structures and possibly different welfare fund and Shops and Establishments duties. It names this as one of the strongest reasons to move off spreadsheets once you operate in more than one state.

HRMS Software Comparison for India: Tools and Reported Prices

How to Read This HRMS Comparison

Most of the sources behind this guide are vendor pages. Zoho (Zoho People), HR HUB, ZFour and Go-EMP each describe their own product favorably, and HR HUB, ZFour and Go-EMP also appear in the table below. Zapier's list is independent in method, but it says it may earn a commission when you click some links. This guide uses the sources for facts and prices only, doesn't rank the tools and doesn't claim hands-on testing.

Prices are as each source reported them and will change. Treat the tables as a starting shortlist.

HRMS Tools Built for Indian Small Businesses

Tool

What the sources say

Reported pricing

greytHR

HR HUB credits it with a long track record in payroll and compliance and positions it for very small teams that need only core automation.

Free plan for up to 25 employees. Essential plan about ₹3,495 a month for up to 50 employees, plus about ₹30 a month for each additional employee in that tier (HR HUB).

Zoho People

Fits best if you already use Zoho products. HR HUB says it links to Zoho Books, CRM and Payroll, and that its workflow options are strong but setup may feel technical for small teams. Zoho's own page says setup needs minimal IT knowledge and lists links to Zoho Books, QuickBooks, Zoho Invoice and Zoho Recruit. Payroll and hiring are separate paid products (Zapier). Zoho advertises a 30-day free trial.

HR HUB reports a free plan for up to 5 users and about ₹48 per user a month for the basic plan in India. Zapier reports a free plan for up to 3 users and gives two different USD entry prices ($4 and $1.50 per user a month). Zoho's page shows no price, so check its pricing page.

Keka

Centres on the employee experience, with dashboards, feedback and performance tools. HR HUB calls it somewhat pricier than entry-level options.

Starts at ₹9,999 a month for up to 100 employees (HR HUB).

HR HUB

Puts payroll, attendance and employee data on one dashboard and says statutory deductions (PF, ESI, TDS) run automatically. Offers a free demo (its own claims).

Contact the vendor.

SumHR

Aimed at startups and SMEs that want quick, simple setup (HR HUB).

On request (HR HUB).

ZFour

States that it covers payroll with Indian compliance, GPS and biometric attendance, leave and reports, priced per employee (its own claims).

The source gives no figures. Check the vendor's pricing page.

Go-EMP

Unified workforce platform with HR, productivity, project and performance modules (Go-EMP's site). See the Go-EMP section above for the module list.

Global HR Software Tools Worth Knowing

Most of Zapier's list is written around US payroll and tax rules, with mentions of I-9 forms and federal, state and local filing. Deel is the exception, with a focus on global hiring. Zapier's article doesn't mention PF, ESI or Indian TDS for any of these tools, so check that before shortlisting one.

  • BambooHR: praised for a clean, easy interface. From $10 per employee a month on the Core plan, with payroll and several other functions sold as add-ons.

  • Gusto: payroll first, with HR features added on. From $49 a month plus $6 per person on the Simple plan.

  • Deel: built for hiring and paying people in many countries, which Zapier says suits distributed startups. Free plan available, Core HR from $5 per employee a month and Global Payroll from $29.

  • Homebase: aimed at hourly teams. Free for up to 10 employees, with paid plans from $30 a month.

  • Eddy: praised for ease of use. From $50 a month plus $4 per person, with payroll and hiring as add-ons or on the top plan.

  • OnPay: a payroll tool with an HR add-on. From $49 a month plus $6 per person, and the HR package adds $15 a month plus $2 per person.

HRMS Tool Types by Business Situation

Suggestion: match the tool to your situation using what the sources report.

  • Small team, tight budget: start with free or low-cost plans, such as greytHR's free tier, and list what each one leaves out.

  • Payroll is the main pain: weigh compliance depth above extra modules.

  • Already on Zoho for accounts or CRM: Zoho People may slot in, but payroll is bought separately.

  • Culture and feedback come first: HR HUB describes Keka as built around the employee experience, at a higher price.

  • Field or scattered staff: insist on GPS or mobile attendance.

  • Workers in several countries: Zapier points to Deel.

  • One platform for HR plus project time and performance: Go-EMP lists modules across all three, so test how they fit your workflow.

HRMS Pricing in India: Per-Employee Fees, Add-Ons and Total Cost

ZFour lists what drives price in this market: headcount, the modules you pick, payroll complexity, biometric or GPS hardware links, support level, and any setup or data-migration work. Ask every vendor for a quote at your exact headcount.

HRMS Per-Employee Pricing vs Flat-Fee Plans

ZFour says most platforms charge per employee per month, while some charge one fee for a block of staff. Which is cheaper depends on your size. The sums below use prices reported earlier and are this guide's own arithmetic, for illustration only:

  • greytHR's Essential plan, about ₹3,495 for up to 50 employees, comes to roughly ₹116 per employee at 30 people and about ₹70 at 50.

  • Zoho People at about ₹48 per user comes to about ₹960 a month for 20 people and ₹2,400 for 50. That's the basic plan and it excludes payroll.

  • Keka at ₹9,999 for up to 100 employees comes to about ₹100 per person at 100 staff, but about ₹200 at 50.

A flat fee pays off when you fill the block, while per-employee pricing is gentler during growth. ZFour also warns that seat minimums can suit a 100-person firm yet burden one with 15 people.

HRMS Hidden Costs: Add-Ons, Setup and Support Tiers

The monthly price is rarely the full bill. ZFour and Zapier point to separate charges for payroll, hiring or time tracking, setup and data-migration fees, surcharges for mobile access, higher support tiers and seat minimums. Suggestion: ask the vendor to put every charge in writing before you sign.

HRMS Free Plans vs Free Trials

A free plan has no end date but caps users or features. Reported caps include 3 or 5 users for Zoho People (the sources disagree), 25 employees for greytHR and 10 for Homebase. A free trial gives you the product for a set period. Zoho, for example, advertises 30 days.

ZFour's view is that a team under five with simple pay may cope with a free or basic tool. Once ESI or PF applies, or matching attendance to payroll becomes routine, it says a full HRMS usually earns its keep through time saved. Before you run real payroll on a free plan, check exactly what it includes, especially for compliance.

HRMS Total Cost of Ownership at Your Size and at Double

Suggestion: add up a full year of subscription at today's headcount, the add-ons you will really use, setup or migration fees, and the admin hours you still spend, valued honestly. Then repeat the sum with twice the staff. ZFour names skipping the double-headcount check as a common mistake, because a cheap tool can turn expensive as you grow and force a costly switch.

Cloud HRMS Security, Data Ownership and Exit Terms

Cloud HRMS for Small Teams

A cloud HRMS runs in a browser or app, so you don't need your own server. HR HUB says setups that once took months and large budgets can now go live in a few hours. ZFour lists mobile access as a way to handle approvals and HR tasks from anywhere, which matters most for field teams.

Suggestion: ask what happens when someone marks attendance without a connection. Some tools store the entry and sync it later, and others don't.

HRMS Data Security Checks

HR files hold salaries, ID numbers and addresses, so security can't be an afterthought. HR HUB lists encryption, multi-factor login, tight access controls and periodic security reviews as things to look for. ZFour adds role-based permissions and recognized certifications such as ISO or SOC. Ask to see proof, not only claims.

Biometric attendance stores especially sensitive data. Suggestion: ask how it is stored, who can see it and how long it is kept.

HRMS Data Ownership and Exit Terms

ZFour says reputable platforms support structured export of your data, and it recommends confirming this before you sign. Suggestion: get written answers to four questions. Can you export everything in a usable format? Who inside your company can see salary data? How are backups handled? What happens to your data after you cancel?

HRMS Selection Criteria for Small Businesses

HRMS Pain Points That Decide Your Modules

HR HUB suggests listing the three biggest HR headaches you face each month, such as late payroll, unclear leave balances or filings you struggle to track. That short list shows which modules matter, and it protects you from paying for polished dashboards you won't open.

HRMS Trial Tests With Your Own Data

A feature-rich tool that nobody wants to use has failed. ZFour says new users should be able to work in the tool by the end of their first day. It also advises asking the vendor to run a live payroll with your own numbers instead of sitting through a generic demo.

During a trial, HR HUB's idea can be turned into three quick tests. Run a payroll without opening the help guide. Ask a colleague to request leave on a phone. Time how long it takes to pull a report you actually need.

HRMS Attendance Method, Integrations and Support

Confirm that the tool handles how your people clock in: biometric, GPS, selfie or manual. Then check the links to your accounting software and bank payouts. Zoho's page, for example, lists connections to Zoho Books and QuickBooks.

Support matters most at month-end. HR HUB recommends chat or phone help in business hours, ideally from a team in India that knows local payroll cycles. ZFour adds a simple signal: if a vendor can't give you a clear setup timeline and a monthly price for your actual staff count in a single call, expect similar vagueness once you're a customer.

HRMS Vendor Shortlisting and Contract Red Flags

HRMS Vendor Scorecard

Suggestion: shortlist two or three tools and score each from 1 to 5 on six points drawn from the sources: native Indian compliance, ease of use on your data, fit with your attendance method, support responsiveness, price now and at double headcount, and data export plus security. Add up the scores and let the totals guide the decision rather than the smoothest sales pitch.

HRMS Reviews and Vendor Lists: How to Read Them

Check who published a list. A vendor writing about its own product has an interest in the result, and that applies to most of the sources used here. An independent publisher that discloses commissions, as Zapier does, is more balanced but still not neutral. Look for patterns across several sources.

Treat big numbers the same way. Zoho's page claims a 75% efficiency gain without explaining how it was measured. Claims like that are worth testing in your own trial.

HRMS Buying Mistakes and Contract Red Flags

ZFour's list of common mistakes falls into three groups. The first is picking a tool because it is cheap, then finding out that Indian statutory rules were never built in. The second is skipping tests: underestimating setup time, skipping a parallel payroll run, and forgetting the mobile needs of field or hybrid staff. The third is planning only for today: never pricing the tool at double your headcount, or treating HRMS as something only large firms need and staying on spreadsheets long after they stop paying off.

When you read the quote, look for seat minimums, setup or migration fees, mobile-app surcharges and vague wording about exporting your data.

HRMS Implementation Timeline for a Small Team

ZFour says most small businesses wrap up implementation within days or a few weeks, far quicker than an enterprise rollout. The exact time depends on how ready your data is and how complex your payroll is.

HRMS Data Migration Before Go-Live

Begin by gathering each person's details, pay structure and past attendance from wherever they are stored. Suggestion: fix gaps and duplicates before importing, so the first payroll starts clean. ZFour recommends migrating with the vendor's help and starting at the beginning of a pay cycle, which avoids reconciling halfway through a month. Ask what migration support the price includes.

HRMS Parallel Payroll Run

ZFour says to run the first month's payroll twice, once the old way and once in the new system, and compare the results before switching over. It lists skipping this step as a common mistake. If the totals match, you cut over. If they differ, you've caught the problem before it reached anyone's salary.

HRMS Training and the 30, 60 and 90 Day Review

Show employees how to open payslips and request leave, and show managers how to approve requests and correct missed attendance. ZFour recommends reviewing after 60 to 90 days, comparing time saved, error rates and filing accuracy with your manual baseline.

Suggestion: split that review into three checkpoints. At 30 days, ask whether payroll ran on time without corrections. At 60 days, ask whether pay disputes and payslip questions have dropped. At 90 days, count the admin hours saved and confirm filings are on track. The hour count you logged earlier is what makes this comparison possible.

HRMS Software for Small Business: Frequently Asked Questions

What Is the Best HRMS Software for Small Business in India?

There's no single best tool. ZFour says the right one is affordable, easy to use and includes native Indian payroll compliance alongside attendance and leave. Shortlist two or three from the tables above and test each on your real data.

How Much Does HR Software for Small Companies Cost per Employee?

It depends on headcount, modules and support. From the prices reported above, entry-level options range from free plans for very small teams to about ₹48 per user a month for a basic plan, or a few thousand rupees a month for a block of up to 50 employees. Confirm current pricing with the vendor.

Is HRMS Software Worth It for a Team of Ten?

Often yes. ZFour says ESI generally applies from about 10 employees and that manual tracking starts to strain around then. A free or low-cost plan can be a sensible first step.

Can HRMS Software Handle Payroll and Compliance Together?

Yes, if it's built for India. Many tools pass attendance into payroll and calculate PF, ESI, Professional Tax and TDS. Others, like Zoho People, need a separate payroll product. Check this before you buy.

What Is the Difference Between HRMS and Payroll Software?

According to ZFour, standalone payroll software covers salary calculation only. An HRMS covers the wider employee journey, including attendance, leave, records and often hiring and performance, with payroll as one connected module.

Can HRMS Software Track Field Employees Without Biometric Devices?

Yes. ZFour says GPS-based and selfie-based phone attendance are common choices for field sales, delivery and site teams, where biometric hardware isn't practical.

How Long Does HRMS Setup Take?

ZFour says most small businesses are up and running within days or a few weeks, depending on how ready the data is and how complex payroll is.
